AI service limitations & disclosures

Ava is an AI, not a human. This page is a plain-language disclosure of what she can do, what she cannot do, how she identifies herself to your callers, and what happens if a caller needs a human being.

What Ava does — and what she does not

A complete picture of Ava's current capabilities. No vague disclaimers — just the facts.

  • Answers every inbound call 24/7 No hold time; no voicemail for inbound calls; no missed-call window.
  • Books appointment slots live, on the call Checks real calendar availability and confirms the appointment before the caller hangs up.
  • Reschedules and cancels existing appointments Handles changes via caller-provided confirmation details.
  • Answers questions about services, hours, and pricing ranges Uses information provided by the business during setup.
  • Sends a call summary to the business Email summary after every call, including caller information and what was discussed.
  • Discloses her AI nature when a caller asks If a caller asks "are you a robot?" or "are you a real person?" or similar, Ava identifies herself as an AI immediately.
  • Live transfer to a human staff member mid-call Ava cannot connect a caller to a live person on the same call. For urgent or complex matters, she notifies the business and flags the call for follow-up. Human review of any booking is available by email — see below.
  • Medical advice or clinical guidance Ava is a scheduling assistant. She does not provide diagnoses, treatment recommendations, or medical opinions.
  • Emergency call routing or dispatch Callers with a medical emergency should hang up and dial 911. Ava cannot summon emergency services.
  • Spanish-language calls Ava operates in English by default. Spanish is available on request.
  • Guaranteed error-free responses AI-generated responses can contain errors or omissions. Always verify critical information through qualified professionals. RAMELO does not warrant the accuracy of any information provided by Ava beyond what the business owner has configured.

How Ava identifies herself, and what law requires.

What Ava says when she answers
Ava greets callers as "RAMELO's AI receptionist" — the word "AI" is part of her greeting. She does not present herself as a human staff member.
When a caller asks if she is a real person
Ava identifies herself as an AI immediately and directly. No ambiguity. This satisfies California SB-1001 (BOT Act), Utah AI Policy Act HB 452, Colorado AI Act SB 205, and EU AI Act Article 52 transparency requirements.
Call recording
Calls may be recorded. Ava provides caller notification at the start of each call in accordance with applicable federal and state law, covering all-party-consent states including California, Florida, Illinois, Maryland, Massachusetts, Pennsylvania, Utah, Washington, and others. Businesses using RAMELO are responsible for any additional consents required in their specific jurisdiction.
Colorado AI Act — high-risk AI disclosure
RAMELO classifies Ava as a limited-risk AI system used for appointment scheduling in a health-adjacent context. Ava does not make clinical decisions. However, in compliance with Colorado SB 205, we disclose that AI is being used in this interaction and provide a human review path for any booking (see below).

If Ava makes a booking or decision you want a human being to review, here is the path.

Request human review of any booking

To request that a human RAMELO team member review a booking made by Ava — including to cancel or modify an appointment, or if you believe an error occurred — email hello@ramelo.ai within 24 hours of the call. Include the caller phone number and approximate time of call. We respond within one business day.

This human review path is provided in accordance with Colorado AI Act SB 205 requirements and reflects our general commitment to human oversight of AI-assisted transactions.

AI risk management posture

How RAMELO manages the risks of AI-powered phone interactions.

Scope of AI decision-making
Ava's decisions are limited to: checking calendar availability and confirming booking slots. She does not make clinical, financial, or consequential personal decisions. All bookings can be canceled by a human at any time.
Data handling
Ava collects caller name, phone number, and appointment preference to complete a booking. Call summaries are stored and shared with the business. RAMELO does not sell caller data. Full details: Privacy Policy.
Voice infrastructure
Ava's voice infrastructure is provided by Retell AI (retellai.com), which has executed a HIPAA-eligible Business Associate Agreement with RAMELO. This covers the voice call layer. RAMELO's other services (booking, CRM) are operated on infrastructure with standard security controls.
No uptime guarantee
RAMELO does not publish or guarantee an uptime SLA percentage. Ava is designed for high availability but is a commercial AI service, not an emergency or life-critical system. Businesses requiring guaranteed uptime for critical communications should maintain an alternative answering solution.

Business operator responsibilities

RAMELO provides the AI technology. Businesses deploying Ava are responsible for the following.

  • Caller consent for recording in your jurisdiction RAMELO notifies callers of recording, but the business is responsible for ensuring compliance with applicable recording-consent laws in their state or country.
  • Accurate configuration of Ava's knowledge base Ava answers questions based on information the business provides during setup. Incorrect or outdated information in the configuration may result in incorrect answers to callers.
  • Emergency call protocols for your practice Businesses should communicate to their callers (via website, on-hold messaging, or staff) that Ava is an AI scheduling assistant and is not an emergency service.
  • HIPAA compliance within your practice RAMELO holds a HIPAA-eligible BAA for the voice layer. Businesses are responsible for their own HIPAA compliance as covered entities or business associates, including training staff and maintaining safeguards for any PHI they access or store.
