Only for clients who paid for a no-system installation. Full refund within 2 days provided onboarding has not yet begun.

No mandatory setup fee — if you already use a booking system (Cal.com, Acuity, Mindbody, etc.), you pay only the monthly plan and there's nothing extra to refund. The 2-day installation refund applies only when an installation add-on was purchased for clients with no existing system, and only before we start building. No annual contracts, no lock-in beyond the current month.

  • Retell BAA — signed
    RAMELO (Luxury Living Contractors LLC) has a signed Business Associate Agreement with Retell AI, Inc., the voice platform that handles Ava's calls. Signed 2026-06-10 via DocuSign click-wrap. This means the voice layer is covered by a formal HIPAA vendor agreement.
  • §632 call-recording compliance (California)
    Ava notifies callers at the start of each call that the call may be recorded, in compliance with California Penal Code §632 (all-party consent). Ava also discloses her AI nature to any caller who asks.
  • Data minimization
    Ava collects only what is needed to book and manage appointments: name, contact number, and requested appointment time. No health history, no treatment notes, no payment data collected on calls.
  • BAA with RAMELO — available on request
    We can provide a direct Business Associate Agreement with RAMELO for practices that require it. Email hello@ramelo.ai to discuss your requirements before you go live.
  • We do not say "fully HIPAA compliant"
    HIPAA compliance depends on your full data flow, your EHR, your state's rules, and how you have configured your practice — not on a vendor label. We walk through your specific data path before go-live. Practices with complex PHI requirements should confirm their complete setup with their compliance advisor.
  • RAMELO SOC 2 — not yet initiated
    We are a new company and have not yet pursued a SOC 2 audit. Our infrastructure runs on established vendors (Retell AI, Vercel, Supabase, ElevenLabs, Twilio) that individually maintain SOC 2 Type II, but RAMELO itself does not hold that certification yet.

You pay — intake form within the hour

Stripe processes your payment. Within one hour, you receive an intake form: your practice name, services, hours, booking calendar link, and how you want Ava to greet callers.

Ava is built to your practice

We configure Ava with your services, your voice preferences, your calendar integration, and your hours. This is a real configuration — not a generic template dropped on your number.

Test calls with you — nothing goes live unreviewed

Before we port your number or forward calls, we do test calls with you. You hear exactly what your callers will hear and give the green light.

Go live — Ava answers your real calls

Call forwarding or number porting is set up. Ava starts answering. You receive a call summary after each call so nothing happens in the dark. Your front desk is now covered 24/7.

Honest limits

What we don't do — yet.

A vendor who tells you exactly what they cannot do earns more trust than one who makes every question sound like a yes. Here's the current limit list.

  • Native Mindbody / Zenoti / Boulevard integration
    No plug-and-play connector yet. Cal.com is our primary booking calendar. Custom integrations are possible — ask us at hello@ramelo.ai before you commit if your practice relies on a specific EMR/practice management system.
  • Spanish-language calls
    Ava currently operates in English. Bilingual capability is on the roadmap. If Spanish is essential for your patient population, we are not the right fit today.
  • Live human escalation mid-call
    Ava cannot transfer a caller to a live human staff member on the same call today. Urgent or complex requests are handled by sending the business a call summary and flagging follow-up.
  • RAMELO SOC 2 certification
    We have not yet initiated a SOC 2 audit. Our infrastructure vendors individually hold SOC 2 Type II, but RAMELO the company does not yet hold that certification. We expect to pursue it as we grow.
  • Public client case studies
    We launched in June 2026. We have no public case studies yet — we will add them as they are earned and clients give permission to publish. We will not invent them.
