How fast can an AI receptionist go live for my med spa?

If you're losing calls today, the practical question is how soon a fix is actually answering your phone. The honest answer: the hands-on work is a single short setup call — the timeline depends mostly on when you book it.

The short version: The work itself is one setup call of about 30–45 minutes to tune Ava to your practice. After that, you forward your number (about two minutes from your carrier) and she's answering. The main variable is scheduling that call, which is usually within a business day of signing up.

The steps, in order

1. Schedule your setup call (usually within a business day)

After you sign up, you book a short setup call. We aim to get you on the calendar within a business day so you're not waiting around.

2. Tune Ava on the call (~30–45 minutes)

This is the only real "work" on your side. We walk through your services, hours, policies, pricing ranges, and how you want different calls handled — what Ava answers directly and what she routes to your team. By the end of the call she's configured to your practice.

3. Connect your booking calendar

If you use a supported booking system, we connect it so Ava books appointments live on the call. If you don't have one, she books into your RAMELO calendar. Either way, callers leave with a confirmed slot.

4. Forward your number and go live

You forward your business number to Ava's dedicated line — about two minutes from your carrier's portal. We run a test call together. Then she's live and answering. You keep your existing number; no porting.

What makes it fast (and what doesn't)

There's no software to install, no hardware, and nothing for your clients to download. That's why the setup is a conversation, not a project. The two things that can stretch the timeline are scheduling the setup call and connecting a booking system that needs vendor-side approval — we tell you upfront if yours does, so there are no surprises.

Common questions

Do I have to be technical?

No. The setup call is in plain language about how your front desk works. Forwarding is a standard carrier feature and we give you the exact steps for your provider.

Can I start with after-hours only?

Yes — a common starting point is conditional forwarding, where Ava only picks up when your team is busy or after hours. You can expand to full coverage whenever you're ready.

Can I change things after she's live?

Yes. Her answers, hours, and escalation rules are adjustable as your practice changes. You're not stuck with the first version.

Honest note: we're an early-stage company onboarding our first practices, so we give every new client a real, attentive setup rather than a self-serve wizard. The trade-off is that go-live depends on scheduling that setup call — but the hands-on time for you is short, and you'll talk to a person, not a form.
